EEF Venues’ Woodland Grange meeting and conference venue in Leamington Spa has taken gold in the Business Tourism category of the prestigious VisitEngland Awards for Excellence 2015, held last night, Monday 11 May 2015, at the Sage Gateshead.

The award places the AIM Gold accredited meeting and conference venue as the UK’s premier business venue.

The VisitEngland Awards attracted a total of 345 applications, with five finalists vying for gold under the Business Tourism category. The gold award is the highest Award for Excellence in Tourism in England which VisitEngland can bestow.

David Vaughton, director of venues for EEF Venues, said:”This is a proud moment for all at EEF Venues and a tangible endorsement of our quality standards. It is testament to our teams who have the expertise and experience to understand the very specific needs of a business client. We feel enormously proud of this national recognition.”

A Conference Centre of Excellence (CCE), Woodland Grange is the flagship venue of the EEF Venues’ group which has two other venues: Broadway House in Westminster and Engineers’ House in Bristol. Set within 16 acres of grounds on the outskirts of Leamington Spa in Warwickshire, Woodland Grange has 26 versatile conference and meeting rooms, superfast synchronous internet, 114 en-suite bedrooms, a leisure suite, two bars, a restaurant and an internet café. Earlier this year, the venue gained BDRC Gold status.

“Our teams have the necessary training and experience to handle the often complex operational requirements of a business event efficiently and competently because that is what they do, day-in, day-out. Every detail is looked after, from setting up presentation equipment to catering requirements. Nothing is left to chance,” said David Vaughton.
“This award is for every single member of staff at Woodland Grange who tirelessly work to achieve customer service excellence.”

VisitEngland Chairman, Lady Cobham CBE, said: “The VisitEngland Awards for Excellence - this year hosted at the wonderful Sage Gateshead - celebrate the very best in English tourism. It is the highest
accolade and recognises the true champions of our industry, as well as the top quality visitor experiences we are fortunate to have on offer in England. The competition is of an increasingly high
standard and so I offer my sincere congratulations to all our winners on this tremendous achievement, particularly the Gold Award winners for their exemplary contribution to tourism in this country.”

James Berresford, VisitEngland’s Chief Executive said “We received hundreds of applications of an exceptionally high quality making the competition for a Gold Award extremely tough. It is therefore a tremendous
achievement for EEF Venue’s Woodland Grange venue to win a Gold Award, the highest accolade for Excellence in Tourism which VisitEngland can bestow. They have raised the bar for excellence for others to aspire
to and I warmly congratulate them on their exemplary contribution to tourism in this country."

Woodland Grange chef shortlisted for major industry award

Matthew Parsons, executive chef at Woodland Grange, has been shortlisted for the People 1st National Apprenticeship Awards 2015 under the Mentor of the Year category. The winner will be announced at the awards ceremony on 26 February at the House of Commons.

Matthew was shortlisted because of his outstanding work in mentoring and developing young people at EEF Venues’ Woodland Grange conference centre in Leamington Spa. He has mentored six apprentices to date at Woodland Grange, two of whom are now full-time staff members at the award winning Warwickshire venue.

His nominator, David Vaughton, director of venues for EEF Venues, said:” For Matthew, there are no short-cuts as consistent quality is everything. ‘Do it well, do it right’ is his mantra so he instils high standards in his apprentices from the outset.

“95% of our food served at Woodland Grange is made from scratch by our brigade – a tangible indication of the training apprentices receive in classical culinary skills and methods such as how to make a classic roux, how to skin and bone a fish and make a consommé  - many of which have disappeared in kitchens due to convenience foods. “

Bryan Anderson, Team Leader for Work-based Learning at Stratford upon Avon College, said: ‘We have worked with Matthew Parsons for many years delivering successful hospitality apprenticeships at Woodland Grange. His passion for the industry and desire to develop the next generation of chefs is clearly demonstrated by the time and commitment he commits to the candidates. “

Commenting on his shortlisting, Matthew said: ”It is great to get industry recognition at this level; just to be shortlisted is an honour in itself. I am passionate about skills development as our fresh food ethos is an important part of our business success at Woodland Grange.”

Warwick Conferences distils industry research

Warwick Conferences has distilled a range of market research and reports in order to share the key findings with the wider industry, providing a valuable insight into the future of conferencing.

The Looking Ahead infographic serves to make the knowledge gleaned from eight industry reports - including the UK Events Market Trends Survey 2014 and the Global Meetings and Events Forecast 2015 – more accessible to events professionals.

The key findings - as identified by Warwick Conferences - cover the trends predicted to have a significant influence in 2015, the relationship between event planners and agencies, and the role of sustainability in events.

Rachael Bartlett, head of sales and marketing at Warwick Conferences, comments: “The conferencing landscape is constantly shifting and it’s crucial for event professionals to be able to forecast the influencers that will affect business in the coming months and years.

“The number of meetings is expected to rise by 1.2% in 2015, and while expenditure is returning slowly, costs remains a key decision maker for clients. This, coupled with the fact that flexibility is held as high priority means that venues must be adaptable, offering rate package options to embrace varying needs.
“As a business at the forefront of the conferencing industry, Warwick Conferences is dedicated to making a positive contribution to drive the sector forward. Summarising the reports has helped us to refine our objectives and provide a clearer picture of where the industry is heading. We know the world of market research can be overwhelming, so we hope the Looking Ahead infographic provides a useful, easy-to-digest summary for event professionals to call upon.”

AIM Gold for Woodland Grange

Woodland Grange conference centre in Leamington Spa has achieved AIM Gold in the stringent Accredited in Meetings (AIM) assessment – the nationwide 'kitemark' for accredited venues and service providers in the UK meetings, conference and events industry. This is the third time that the venue has achieved this mark of excellence which is awarded every three years to a select portfolio of venues throughout the UK.

Ian Chaplin, general manager of Woodland Grange said: ”We first gained this important accolade in 2008 so this is great credit to the team for their consistent attention to detail and customer care excellence over the years.  On-going investment in our facilities and in our people keeps standards high and we are constantly looking at new ways to improve the experience for our delegates.

“From a business development perspective, having AIM Gold status gives us a considerable competitive advantage, particularly as many organisations use procurement specialists and agents who will only use AIM accredited venues.  AIM Gold is the ultimate benchmark of quality so to have achieved this places Woodland Grange within the top tier of UK venues.”

Named ‘Business of the Year’ in this year’s Touch FM Pride of Warwick District Awards, Woodland Grange has recently completed a £120K refurbishment project and has recorded its best trading month to date in October, with revenue up 13% over the same month last year.

Kirsty rates ‘location, location, location’ of Woodland Grange

One of the key considerations for anyone booking a conference is location. Is the venue accessible to all major motorway, rail and air links?

Facilities are also important, but making the right choice of venue goes far beyond just having the right address or kit. It’s a holistic approach covering everything from assessing a venue’s ethos, standards of care and technology to the quality of its food.

When Kristy Peake, Chair of the CAPBT, the COAPE Association of Pet Behaviourists and Trainers, was looking for a venue for the organisation’s annual conference this May, she took a practical approach and checked out Woodland Grange for herself before committing to a booking.

She explained: ”Last year, while attending an event at Stoneleigh Park, my colleague and I were looking for accommodation. My Google search came up with Woodland Grange and while there, we asked for a tour of the facilities and we were very impressed. My colleague and I decided that Woodland Grange would be the perfect venue for us.
“This proved to be the case as our speakers and members were subsequently delighted with the venue and its facilities. Interestingly, this year we did an analysis of our membership to find a geographical centre. It turned out to be Leamington Spa so it couldn’t have made a better choice!”

CAPBT, the COAPE Association of Pet Behaviourists and Trainers is the largest specifically qualified association for pet behaviourists and trainers in the UK. Membership offers all pet owners a guarantee of quality when seeking help with the treatment of behaviour problems or in training a dog or puppy.

Throughout the year, the organisation holds many small events around the country, but for its big annual conference, wanted a central location to facilitate its members.

Kirsty Peake said:” We like to ‘push the boat out’ for our annual conference, with speakers from outside our Association, as it helps to raise our profile.
“Location was key for us as many of our members travel to the conference from different parts of the UK and Ireland and we wanted to make it as easy as possible for them. Woodland Grange offers easy access to Birmingham Airport for members from Scotland, Ireland and the CIs.

“The food was also excellent and we were very impressed with the care and attention given to us. I spend a lot of time in the USA where the service industry is respected and valued, whereas here in the UK it is not so much. The level of service provided by the team at Woodland Grange was outstanding. The fact that everything went well and the odd hiccup was dealt with immediately was very reassuring. We will definitely consider returning to Woodland Grange again.”

EEF Venues celebrates market confidence with major refurbishment

EEF Venues has completed a £120K refurbishment project at its Woodland Grange conference centre in Leamington Spa.

The company commissioned McCarthy Interiors, leading specialists in corporate refurbishment and space planning, to upgrade the venue’s lounge and bar areas. This included new flooring, lighting, décor and furniture.

This latest project follows just one year after EEF Venues made a £1 million capital investment in the refurbishment of bedrooms and bathrooms at the AIM gold accredited venue.

David Vaughton, director of venues for EEF Venues, said: ”We have seen a 27 per cent growth increase across our three venues over the last four years. Because of this significant growth, our parent group, EEF, the manufacturers’ organisation, made a commitment to invest further.
“Our newly refurbished lounge and bar areas now reflect the diversification of our client-base and their expectations. Softer lighting, more comfortable seating and colourful décor have changed the mood of these areas, providing a calmer and more relaxing environment for people to unwind after a busy conference or training session.”

The coffee lounge features a new Autobar bean-to-cup coffee station, where delegates can enjoy Woodland Grange’s range of hand-made biscuits, speciality teas, fresh juices and fruit.

“Delegates expectations are higher than ever so we now bench-mark ourselves against top quality hotels and conference venues,” said David Vaughton.

“We have dropped the lighting levels, created lower ceilings and added luxury fabrics and contemporary, retro-style seating to create a more chilled environment because we feel that when people are happy and relaxed, they are more productive and energised. Our meeting spaces are still comfortable yet functional but it’s important that break-out areas and lounges have a very different feel.

“This latest investment is about strengthening the total solution for our clients so that their every need is met, from state of the art technology to great food and a warm and inviting after-work ambience.
“It is also an indication of the confidence we feel in the market. August trading results for Woodland Grange show a 61% per cent year-on-year increase. Now that we have completed the refurbishment, we expect further enhanced performance going forward.”

The 114-bedroom venue also features a health suite which includes a Jacuzzi, gym and sauna.

Warwick Conferences raised a total of £520 as part of its Cycle for Change initiative, which saw delegates and staff saddle up to cycle a mile all in the name of charity.

Having teamed up with the UK's largest bicycle retailer Halfords, would-be riders tackled the challenge on a Boardman race bike—which toured the conferencing venues and university campus on rollers—in order to raise all-important funds for Re-Cycle, a charity that sends unwanted bikes to Africa.

The charity enables people to travel to work and school, as well as allowing small-scale traders to reach customers further afield. The bikes can also be an invaluable resource for travelling health workers and provide access to training and employment, helping to improve lives in a sustainable way.

EEF Venues appoints new general manager at Woodland Grange

Prior to his appointment, Ian was operations manager with De Vere Venues at Staverton Park, and before that, operations manager with Principal Hayley Hotels and Conference Venues.

Commenting on his appointment, David Vaughton, director of venues for EEF Venues, said: “This new role is a significant investment in the business and it highlights the importance we place on looking after our clients and our people. Ian’s strong background within the hospitality sector, and particularly, venue management, will ensure that customer service excellence remains a core value while building further on the business growth witnessed this year.”

Woodland Grange donates gym equipment to Leamington school

Woodland Grange, a meetings and conference centre in Old Milverton Lane in Leamington Spa, has donated all of its former gym equipment to North Leamington School in Blackdown, Leamington.

Much to the delight of  6th form and GCSE students, the school’s gymnasium is now equipped with high quality apparatus including two additional rowing machines, three cross  trainers, two upright cycle machines and two treadmills.

John Turpin, group operations manager for EEF Venues, the group behind Woodland Grange, said: ”Our recent £1 million capital investment in our facilities included the replacement of gym equipment in our Leisure Suite at Woodland Grange. We could have sold the old equipment but felt that it would be far better to put it to good use in the local community. We are absolutely thrilled that our equipment has found a good home and that it is of benefit to the school.”

Prior to donating the equipment to the school, the machines were serviced by local company, Newbody Fitness Ltd in Bedford St, Leamington, who will service the equipment for the school free of charge for the next twelve months.

John Turpin continued:”The units were in excellent condition because of our regular maintenance and repair schedule.  It was a logistical challenge though in that the machines had to be broken down into their composite elements, transferred and rebuilt on site. As the school is very close to our venue, this all happened in less than half a day and I am delighted to report that it all went to plan!”

Joy Mitchell, head teacher at North Leamington School, said:”We are delighted with the gym equipment and want to thank Woodland Grange for their generosity. We have a strong PE department and a high participation rate in our GCSE and A-Level PE courses. The additional equipment means that we can engage more of our students in the practical application of the PE courses and increase opportunities to develop healthier lifestyles and attitudes.”

A taste for success for Warwick Conferences at industry awards

Warwick Conferences certainly proved to cut the mustard last week after its catering team excelled in all five contests at the annual TUCO (The University Caterers’ Organisation) competition, bringing home an impressive seven awards in total.

This is the fifth successive year that Warwick Conferences has been recognised at the two-day competition, designed to celebrate the talents of university chefs and catering staff through a range of skills-led challenges.

As a leading collection of conferencing venues, Warwick Conferences prides itself on catering and service excellence, and constantly strives to improve standards both within its own offering and across the industry.

Its recent, independent Value of Satisfaction report highlighted the direct and positive correlation that quality catering enjoys with increased levels of customer satisfaction, with good food exerting an important influence during an event and playing a significant role in determining the defining experience.

This year’s TUCO Competition provided a respected platform upon which to demonstrate the expertise of Warwick Conferences’ catering team with a range of contests to assess flair and technique in a wide variety of areas, from savoury meals to elaborate confectionary.

The Static Salon contest—which showcases the artistic presentation of a variety of dishes—saw Warwick Conferences scoop awards in four of its categories: Pete Fry, for the Bronze award in Plated Fine Dining and Student Meal; Graham Edwards for the Bronze award in Senior Class for Bread Making; Mary Fry achieved a Merit in the Decorative Exhibit; and Jonathan Rackham won Silver in Junior Bread Making.

Gary Crump and Gary Brown were awarded Bronze in the Chefs’ Challenge, which requires contestants to create outstanding menus using a mystery box of ingredients.

Ravinder Kumar was named first runner-up in the Street Food category in the Chef of the Year contest, while Kian Shakouri of Warwick Retail received a Silver Award in the TUCO Barista Skills challenge. Front of house staff Natalja Saveljeva and Kristine Vilcane were also recognised in the Service Skills challenge.

Warwick Conferences’ success at this year’s TUCO Competition is the cherry on the cake following a range of other culinary accolades recently awarded to its catering team. In November 2013, Graham Crump, executive development chef, was awarded the Innovation in Management award by the Institute of Hospitality, while two members of the team were also winners at the CCE Chefs Challenge.

Rachael Bartlett, head of sales and marketing at Warwick Conferences, commented: “We’re extremely proud of the team’s success at this year’s TUCO Competition. Creating world-class dining experiences for our delegates is something we are hugely passionate about, and events such as this help to hone our skills and allow us more of an insight into our competition, as well as ensuring we’re constantly at the forefront of industry development.

“To be recognised so highly across all five contests is an incredible achievement—especially considering the calibre of all those competing—and is a credit to the team’s hard work and dedication to dishing up exceptional food and outstanding service across our venues.”

The TUCO awards were announced at a gala dinner at the Hilton Blackpool on Tuesday 18 March.

WARWICK CONFERENCES STRIKES GOLD AGAIN IN BDRC CONTINENTAL ACCREDITATION WINS

Warwick Conferences is celebrating its venues achieving BDRC Continental VenueVerdict accreditation for a third consecutive year, including Gold and Highly Commended for its Radcliffe and Scarman venues.

Judged by customers over the course of 2013 as part of the VenueVerdict Accreditation programme, Warwick’s venues are among just a handful of conference and meeting venues in the UK to be awarded these prestigious accolades. Warwick Conferences has held BDRC Continental accreditation at venues within the group since 2011, and achieved the standard yet again in 2013, despite the substantial renovation work carried out at Radcliffe training and conference centre during this period.

Rachael Bartlett, head of sales and marketing at Warwick Conferences said: “We’re thrilled to have been recognised again by BDRC Continental.  Reaching this standard is in itself an achievement, and maintaining it on a consistent basis is a challenge for any venue. At the time customer feedback was gathered, refurbishment was being carried out at our Radcliffe location. We hope to maintain this standard, indicative of the outstanding customer service we continually pride ourselves on delivering, for a long time to come.”

James Bland, senior client services manager at BDRC Continental added: “This quarter, only 31 properties achieved the Gold Standard, so Warwick Conferences should be very proud. Net Promoter can range from -100 to +100 so to achieve and sustain a score of +70 requires consistently excellent customer service.”

Warwick Conferences, part of the University of Warwick, is one of the leading providers of conferencing space in the UK.

Double win for Warwick Conferences at CCE Chefs’ Challenge

Warwick Conferences found success to be twice as nice at the weekend when two members of its catering team were awarded recognition at a highly competitive industry contest.

The CCE Chefs’ Challenge is a competition run by Conference Centres of Excellence to find the best of the chefs in the UK conferencing industry. Ryan Dare and Natalja Saveljeva—from Warwick Conferences’ Ninety One restaurant at the Scarman venue—both brought home awards on the night of the final, which took place on Saturday 9th November at Stratford-upon-Avon College.

This year marked the 15th annual CCE Chefs’ Challenge and brought together 12 outstanding chefs to battle it out in the race to become 2013’s culinary champion.
The final saw the top 12 put their skills to the test to produce a three-course fine dining menu in accordance with certain criteria. This year, the dishes served needed to be suitable for an end-of-conference dinner for a large group, and beef was required to be served as the main.

After careful consideration, Ryan was announced as the joint winner of the Bronze Chefs’ Challenge award for his menu. He comments: “I’m honoured to have been awarded joint Bronze in the CCE Chefs’ Challenge. It’s a competition which sets out to recognise and reward the best in the industry, so I’m absolutely thrilled that my menu seemed to impress the judges.”

Natalja, who supported Ryan in the competition, picked up the Best Food Service Skills award. She was tasked with preparing, serving and clearing a table for two people, suggesting appropriate wines to match Ryan’s menu, while demonstrating food service techniques and excellent customer service.

Natalja adds: “I’m over the moon to have been awarded the Best Food Service Skills award in this year’s challenge. I thoroughly enjoyed the experience and the opportunity to compete in the company of such a talented group.”

Alan Robinson, Director at Warwick Conferences, also comments: “We are absolutely delighted with Ryan and Natalja’s success at this year’s CCE Chefs’ Challenge. They are both very skilled at what they do and are a credit to Warwick Conferences.

“It’s a real achievement to have been recognised by such a prestigious judging panel, especially considering that this was their first national competition, and we couldn’t be more proud. I have no doubt that they’ll continue to impress in the future.”

Conference Centres of Excellence is the leading national consortium of specialist conferencing venues. Its annual CCE Chefs’ Challenge has proved to be a stepping stone for young chefs to go on to higher profile competitions nationwide and is endorsed by the British Culinary Federation.  Each chef receives a certificate and one year’s free membership to the BCF.

The awards dinner was attended by 110 guests from CCE member centres, including a number of the conference industry’s leading figures.

Warwick Conferences awarded Investors in People accreditation

Coventry- and Warwickshire-based Warwick Conferences is celebrating after once again being awarded the prestigious Investors in People accreditation. The achievement places The University of Warwick business amongst an elite group of employers – just a quarter of firms achieve the standard.

The areas in which Warwick’s collection of conferencing venues was recently found to particularly excel are: the apprenticeships programme; staff inductions; the learning and development programme for staff; and the staff Reward and Recognition scheme.

Alan Robinson, Director of Warwick Conferences, comments: “We’re delighted that our efforts continue to be recognised by the Investors in People standard.

“We believe that it’s our people that really set us apart in the industry, so we’re dedicated to providing a framework of opportunities to progress.

“The fact that we’ve retained the award provides clear evidence of our investment in training and development initiatives for our people, and shows that we are dedicated to continually improving standards.”

Investors in People (IIP) is the UK’s leading business improvement standard, channelling the power of people to transform performance across a whole range of industries. It provides advice and support to organisations nationwide with a view to helping them achieve their goals.

Businesses applying for accreditation are assessed by an independent panel, which not only evaluates existing training and development programmes and other people-related initiatives, but also conducts interviews with staff and management in confidence in order to build a true picture.

Following a two-day assessment, cross sections of staff from the sales department and the Radcliffe, Arden, and Scarman venues at Warwick Conferences were interviewed.
Warwick Conferences, part of the University of Warwick, is one of the leading collections of dedicated conferencing space in the UK.

Warwick Conferences harnesses future industry talent

The first year of Warwick Conferences’ apprentice scheme has drawn to a successful close with all five apprentices either in full-time permanent positions or in the final interview stages for careers in the hospitality and events industry.

Two of last year’s apprentices—Sam Bagworth, 18 and Lewis Woodcock, 22—both successfully applied for posts within Coventry- and Warwickshire-based Warwick Conferences following their apprenticeship. Since graduating, Sam, from Kenilworth, has taken on a full-time permanent role within Conference Park, while Lewis, from Coventry, has been appointed as Junior Chef du Partie at the Scarman venue.

Sam comments: “My time at Warwick Conferences has definitely provided me with an invaluable insight into the meeting and conferencing industry.
“The varied and relevant experience that I have gained over the past year is testament to the quality of the scheme on offer. I now feel prepared and excited about beginning my career at Warwick Conferences.”

The five apprentices from the 2012/2013 cohort celebrated their success at a special graduation dinner hosted by Warwick Conferences at the end of August.

This month, the scheme will welcome a group of six new starters for the second year—all of whom were selected from around 80 applicants following an assessment day and panel interviews with Warwick staff.

Three of the chosen applicants for 2013/14 will undertake a chef apprenticeship working with the centres’ award-winning menus, while three will rotate around each department of the business, including housekeeping, reception, restaurant, conference assistance and kitchen.

Richard Harrison, General Manager at Warwick Conferences’ Scarman venue, comments: “We are delighted to see that the first year of the apprentice scheme has been such a success and how our first participants have risen to the challenge.

“Apprentices are absolutely essential to the growth of the meetings and conferences industry, and Warwick Conferences is dedicated to nurturing and encouraging its future talent.

“It is therefore paramount that our apprentice scheme provides a comprehensive and applicable training programme to ensure that our apprentices graduate stood in good stead for their futures – and for the future of the industry.

“We wish our first apprentices the very best of luck in their careers, and look forward to welcoming the next group of six participants on board in September.”

Participants in the apprenticeship—partnered with Stratford-upon-Avon college—spend four days a week gaining valuable hands-on experience at Warwick Conferences’ facilities, and one day a week working towards an NVQ at Stratford college.

Each apprentice also receives a mentor from their department and is encouraged to attend regular meetings and skills workshops to ensure their employability is maximised by the time they complete the scheme. Warwick Conferences further supports the apprentices by providing them with a network of contacts to build on in their future careers.

New report reveals how customer satisfaction affects the value of meetings, conferences and events

‘People deliver satisfaction’: that’s the leading conclusion from a new independent study into the factors that affect customer satisfaction in the events, meetings and conference market. But the report also warns of the even greater power poor quality venue staff wield.

The study – which sought the views of a cross section of events, meetings and conference stakeholders - also reveals that food is a source of conflict between delegates and event bookers, and highlights a worrying volume of meetings affected by disruptions.

Cost is also examined in the report, with the research revealing that almost half of invoices received are higher than anticipated, and swathes of delegates are dipping into their own pockets to cover expenses such as parking, wi-fi, meals and refreshments.

The Value of Satisfaction report has been commissioned by Warwick Conferences and acknowledged by both the Meetings Industry Association (MIA) and the HBAA, the trade association for the hotel booking agency, apartment and venue community. Delegates, their managers, and event bookers were interviewed on a range of topics relating to their use of third-party venues for meetings, conferences, training sessions and events.

Rachael Bartlett, Warwick Conferences head of sales and marketing, comments:

“We commissioned this independent report to try and find out what it is that leads the key stakeholders engaged in the meetings and events business to feel satisfied about their venue choices. There is an industry preoccupation with ‘cutting edge’ facilities, but what are the other, maybe less tangible, factors at play?

“The report highlights several key themes, but it’s people power that shines through as being the one thing all stakeholders agree can make – or break – a positive venue experience. The study also shows how people caring for the experience they facilitate goes beyond creating positivity front of house. Issues with the quality of catering, inflated invoices and disruption are apparently commonplace, and stakeholders don’t always share the same viewpoint, making delivering satisfaction across the board a balancing act.”

The Value of Satisfaction report identifies four key themes:

People deliver satisfaction

The report reveals that 62% of delegates, managers and event bookers think knowledgeable or helpful on-site staff is the leading factor that results in satisfaction, outranking venue practicalities such as parking, catering and even the effectiveness of the venue itself.

Over two-thirds of delegates (69%) agree that ‘venue staff going the extra mile really makes a venue stand out’.

However, the report also shows the price of poor interactions, with a staggering 52% of event attendees saying it takes just a single member of staff to ruin a good customer service experience during an event. More than two-fifths (43%) of the delegates interviewed reported that an off-site meeting they have attended in the last 12 months has been let down by the poor quality of the venue’s staff.

Rachael comments: “The study shows that you can have everything going for you in the world in terms of location, views, heritage and more – but if you don’t have a good team then people will have a poor view of their experience.”

Food glorious food

The study also shows how food is a source of conflict between event bookers and delegates, with just 12% of the former group ranking catering quality as a top three criteria when selecting a venue. But it’s also one of the most under-rated recipes for success, with 80% of event bookers saying appropriate catering is their number one contributor towards satisfaction, and delegates rating catering second only to knowledgeable or helpful staff.

Delegates’ dismay with the catering provided at events they’ve attended in the last 12 months is rife, with 79% saying they’ve been disappointed for reasons including limited choice (47%), not suitable for own dietary requirements (21%) and not appropriate for the time available (18%).

This disconnect of priorities is further highlighted by the fact that just 22% of delegates say they would sacrifice quality catering to lower the overall cost, versus 28% of event bookers.

Rachael comments: “It would seem that businesses are focusing on food and drink as a way of saving money, but it is an area that their attendees feel very affected by when it misses the mark. The numbers show that event attendees really feel any corner-cutting in this area.”

Hidden costs & surprising invoices

Cost is the number one motivator for event bookers, with 86% saying it's their primary concern when evaluating venue options. But inflated invoices are troubling managers and event bookers alike, according to the study, while delegates are racking up expenses bills that only half of ROI calculations capture.

Almost three-quarters (74%) of delegates have had to pay for extra items – including lunch, dinner, parking and wi-fi access – at venues attended in the last 12 months. These expenses are only factored into half of return on investment calculations, while only 56% of the 97% of managers who say they measure ROI take into account travel expenses.

Incredibly, 55% of managers and 24% of event bookers say they have received an invoice for an event held in the last 12 months that exceeds the price quoted, and on average, this has amounted to 25% of the original quote.

Rachael comments: “The economic climate has put a lot of pressure on everyone to show a cost reduction, but I think these findings need to serve as a warning. The evidence is the reductions negotiated come at a price, with delegates paying themselves for a raft of essential items, which are no doubt then claimed back via their expenses. This clouds the true definition of value for money.”

The disruption dilemma

Three-quarters of delegates report that they have experienced disruption to their productivity when attending events in the last 12 months. A third of these have been linked to technology, while 32% were noise-related. Over a quarter have had their attention diverted by non-business guests.

Supporting the view that it’s people that most influence an event’s success, 21% of delegates cite ineffective staff as being a source of disruption.

It’s perhaps no surprise therefore that delegates who are CEOs, managers or owners think it’s very important a meeting venue lacks distractions, and dedicated venues are seen as being important by 90% of the sample.

Rachael comments: “Disruptions are the bane of the delegates’ life despite managers telling us a distraction-free environment is very important, and it’s also the case that the more meetings and events attended, the greater their sensitivity to disruption.”

Conclusions

Chris Parnham, chairman of the HBAA, comments: “I am delighted to see that this survey reminds us that the surest way for a venue to be distinctive, is to make sure they have the basics right – service, food, accuracy and smooth running – all of which can only be delivered by great people who have had relevant industry-specific training.”

Jane Longhurst, MIA chief executive comments: “The report presents some fascinating findings which will be of great value to venues, delegates and bookers alike. As revealed by the research findings, people are hugely important in the generation of a feeling of satisfaction at a venue. I feel the report confirms the point of view that if the industry is to achieve sustainable business levels into the future, it needs to embrace a people-focused customer service orientated approach to delivering satisfaction to its clients.”

Rachael Bartlett concludes: “The value of satisfaction cannot be attributed to a single thing. What does come across loud and clear is the link between quality human interaction and higher levels of satisfaction. In other words, encountering staff who care when attending an event at a third-party venue makes a tangible difference to how that event is perceived.

“People caring about the experience they facilitate goes beyond creating front of house positivity however. A true culture of client care wouldn’t permit inappropriate catering, an environment not consistent with concentration and engagement, and a pricing structure that deliberately conceals the truth - all factors cited as leading to dissatisfaction.

“But the issue of ‘cost’ remains a constant – directly and indirectly, it’s surely the biggest influence of all the factors explored in this study.”

Warwick Conferences harnesses future industry talent

As Warwick Conferences’ apprentice scheme draws to the end of a successful first year, the next band of selected recruits are getting ready to embark on the second instalment of the training programme.

The five apprentices from the 2012/2013 cohort will celebrate their success at a special graduation dinner hosted by Warwick Conferences on 20th August.

One current apprentice, Sam Bagworth, impressed his managers so much over the course of the year that he has been offered a full-time permanent position at Conference Park.

In September, the scheme will welcome a group of six new starters—all of whom were selected from around 80 applicants following an assessment day and panel interviews with Warwick staff.
Three of the chosen applicants for 2013/14 will undertake a chef apprenticeship working with the centres’ award-winning menus, while three will rotate around each department of the business, including housekeeping, reception, restaurant, conference assistance and kitchen.

Richard Harrison, General Manager at Warwick Conferences’ Scarman centre, comments: “We are delighted to see that the first year of the apprentice scheme has been such a success and how our first participants have risen to the challenge.

A golden hat-trick for EEF Venues

Broadway House, EEF Venues’ conference venue at the heart of Westminster, has achieved Gold in the stringent Accredited in Meetings (AIM) assessment – the nationwide 'kite mark' for accredited venues and service providers in the UK meetings, conference and events industry.

All three EEF Venues now have AIM Gold status: Broadway House, Engineers’ House in Bristol and Woodland Grange in Warwickshire.
Broadway House, which features twelve distinctive meeting rooms, with a maximum room capacity for up to 120 delegates, is the final venue in the group to join AIM’s elite group of 17 UK venues to have been awarded gold status to date.

David Vaughton, director of venues for EEF Venues said: ”AIM has embedded itself into the industry as the ultimate benchmark for quality so we couldn’t ask for a better endorsement of our quality and service standards.
“AIM gives essential, third party credibility - which is crucial for client confidence. Customers know straight away that there is a certain standard, and when that standard is gold, they know that their event will be impeccable. It’s about providing peace of mind and that’s an incredible advantage to have in a highly competitive sector.”

Amanda Sutton, venue manager at Broadway House said:” AIM Gold is the best accolade any venue could wish for. It is the ultimate benchmark of quality so to have achieved this gives us an incredible advantage over other venues in Westminster. We are absolutely thrilled and view this as a vote of confidence in our facilities, in our service levels and our people.”
